Summary:
Under the supervision of the Senior Manager of Planned Giving the Bequest Specialist will play an integral role in supporting all aspects of the Planned Giving function. The Bequest Specialist will manage the processing of all information concerning realized bequests. Responsible for performing database entries to ensure all funds are directed to the designated accounts and monitoring and verifying all gift entry related to bequests. Ensures the security of the donations, documentation, and personal donor information. Provides bequest revenue information to the accounting department.
Primary Job Functions:
- Ongoing review of estate and bequest matters that potentially impact SPLC’s interest and/or the amount of funds distributed to SPLC. Additionally, weekly review of such matters with the Senior Manager of Planned Giving to determine the course of action to preserve SPLC’s interest;
- Review daily scanned mail in the Bequest Scanned Mail folder on Apollo and attaches documents to an interaction on the bequest donor’s individual record in CRM;
- Process daily bequest donations in the bequest queue in Omatic;
- Performs all new bequest entry and document maintenance related to realized bequests following the Bequest Script instructions. Additionally, maintains and files all documents regarding a bequest in the donor’s bequest folder or scanned and attached to the donor’s bequest record in CRM;
- Adds an interaction to the individual donor in CRM for all communications regarding a bequest;
- Add new bequests to Bequest Spreadsheet on Apollo;
- Promptly complete beneficiary forms for bequests through financial institutions, i.e. IRA’s, annuities, POD, etc.;
- Work with the authorized SPLC officer to liquidate outstanding bequest accounts with financial institutions;
- Run bequest Details Report monthly;
- Run Partner Report monthly (after the month is closed);
- Review the Pending Bequests Report monthly;
- Obtains signature of authorized SPLC officer or manager for the following related bequest documents in a timely manner;
- Maintain list of potential bequest donors to feature in the quarterly SPLC Report;
- Researches bequest donors to determine date of death, next of kin, and other information necessary for the timely and accurate bequest processing;
- Draft and send attorney letters to counsel of record to correspond and request copies of will and/or trust;
- Draft and send condolence letters to to next of kin (if known). If a distribution is sent by a family member, send the condolence receipt letter;
- Draft and send Probate follow-up letter or call the attorney if no interaction in two years.
- Produces reports to the accounting department for tracking and projection of bequest revenue;
- Implements departmental procedures, recommends policies, and ensures compliance with SPLC policy, contractual requirements, and standard accounting procedures;
- Coordinates bequest gift processing functions with the department’s general accounting, and data control regarding accounting operations;
- Ensures timely input and generation of accounting documents and batches, reconciles and balances financial reports and accounts;
- Assists in the development of bequest projections; and
- Other additional duties as assigned.
Qualifications –
Education and Related Work Experience:
- Minimum of three (3) years’ experience with bequests or other comparable funding types;
- At least three (3) years of computerized CRM experience; and
- High school diploma or GED.
Knowledge, Skills and Abilities:
- Knowledge of planned giving vehicles, methods, procedures and standards;
- Familiarity with accounting practices and principles;
- Skilled in reconciling/balancing accounts and financial reports;
- Knowledge of Blackbaud CRM or similar donor database systems, Lexus/Nexus, Excel, and Microsoft Word;
- Good organizational and analytical skills;
- Ability to communicate effectively with colleagues, outside attorneys, and financial institutions;
- Commitment to ideals of justice, equity, diversity and inclusion; and

Other Special Considerations:
This job is performed under general office conditions, and is not subject to any strenuous physical demands or dangerous conditions.
